What Meinry collects today, what the bookkeeping product will hold when it opens, and why the access it asks of your bank is read-only.

This policy explains how Spotbo Inc., which operates Meinry, handles personal information when you use this site, when you use the early-access form, and, once it opens, when you use the product itself.

Meinry is not open yet, and this document is written in two tenses because of it. What the site does today is small and is described first: one form, one email, no customer database, and cookieless page counting. What the product will do when it opens involves bank feeds and your books, and is described separately and in advance, because that is the part worth deciding about before you connect anything.

What this site collects today

Meinry is not open yet. Today this domain is a set of written pages and one form, and the only information anybody hands over is what they type into that form.

  • Your email address, which is required, because it is where we would write back.
  • Optionally: the name of your business, roughly what it spends each month, and anything you chose to write in the note field.
  • The ordinary server records a website keeps: the pages requested, the time, the browser and device type, and the IP address the request came from.
  • Measurement: which pages were viewed and which buttons were used, through Vercel Analytics, which does not use cookies and does not build a cross-site profile of you.
  • In your own browser, not on our servers: a note of how you first arrived, meaning the referring site or campaign tag, and a random identifier, kept so that a return visit is not counted as a new one. Clearing your browser data removes both.

Where the form goes, and what happens to it

Into an inbox. The early-access form sends one email to an address a person at Spotbo reads, and it writes nothing to a database. There is no customer database yet, and building one to hold a waitlist would mean creating the risk before creating the product.

That email is used to write back to you about Meinry, and for nothing else. You are not added to a marketing list you did not ask for, your address is not sold, shared or rented, and asking us to delete it is a one-line email that we act on.

What the product will hold when it opens

This is the part worth reading closely, because it is the part that will matter. Meinry is a bookkeeper, so the software will need the things a bookkeeper needs, and it is worth being exact about what those are before anybody connects anything.

  • Transaction data from the bank, card and payment accounts you choose to connect: the date, the amount, the counterparty and whatever description the institution supplies.
  • Documents you or your suppliers send in: receipts, invoices and bills, and the text read out of them.
  • The books themselves: the chart of accounts, the categorisations, the reconciliations, the closing entries and the statements produced from them.
  • Account and billing details: who you are, which businesses you keep books for, and the record of a subscription.

Read-only, through a regulated aggregator

Bank connections will be made through a regulated account-information provider rather than by us asking you for your banking password. That provider brokers the permission with your bank and holds the credential; we receive transaction data through it and act as a processor's customer, not as your bank.

The access is read-only. Meinry can see what moved and when; it cannot move money, cannot initiate a payment, and cannot change anything at your bank. That is a deliberate limit on the product rather than a stage it will grow out of: a bookkeeper does not need payment rights, and software that has them is a much larger thing to trust.

You will be able to disconnect an account at any time, from Meinry and from your bank's own third-party access settings. Either one ends the flow of data immediately.

Your books and the language models

Meinry categorises transactions and reads documents using machine-learning models, some of which run at third-party providers. When that happens, the provider receives the specific transaction or document being worked on and the context needed to code it. Not your ledger, and not your history in bulk.

Two commitments about that, and they are the ones worth holding a vendor to. We do not allow your data to be used to train generalized models, and we do not sell it or share it with anybody who would. Where a provider's default terms do not already say so, we contract for it or we do not use the provider.

How we use what we collect

To run the product: to code transactions, match documents, reconcile accounts, close a period, and produce the statements you asked for. To keep an account working and secure, to answer you when you write to us, to take a payment, to detect abuse, and to fix what breaks.

We do not sell personal information, we do not share it with advertisers, and we do not build a profile of you for anybody else's purposes.

Who else sees it

Only the providers needed to run the service, each doing one job under contract. Today that list is short because the product is not open; it is written here in full rather than left vague, and it grows in public.

  • Today: Vercel, which hosts these pages and provides the cookieless page measurement described above, and Resend, which delivers the one email the early-access form sends.
  • When the product opens: the account-information provider that brokers your bank connections, a payment processor for subscriptions, which receives what it needs to take a payment and gives us no card number, and the model providers described above.
  • No advertising network and no data broker is on this list, and there is no third-party ad tracker on this site. The only measurement is the cookieless page counting above, which is our host's own.

How long we keep things

The early-access email is kept until you ask us to delete it or until Meinry opens and you decide either way, whichever comes first.

Books are different in kind, and the honest answer is that bookkeeping records are meant to be kept: when the product opens, your ledger and the documents behind it stay for as long as you have an account, and afterwards only as long as the tax and company-law retention periods that apply to your business require. Server and security logs are kept for a short operational period. Deleting an account deletes the account record, subject to those obligations and to copies that persist briefly in backups before they age out.

Security

Traffic is encrypted in transit. Credentials for third-party services are held server-side and are never exposed to the browser. Access to production is limited to the people who need it.

No online service is completely secure, and the honest version of this section stops there rather than claiming otherwise. Protecting your own account credentials is your part of it, and telling us quickly if you think they are compromised is the most useful thing you can do.

Your rights

Depending on where you live you may have the right to a copy of your personal information, to have it corrected or deleted, to restrict or object to how it is used, to take it elsewhere in a portable form, and to complain to your data protection authority. Write to us and we will do it. We may need to check who you are first, and a few narrow legal exceptions apply.

Two of these will not require asking anyone: disconnecting a bank connection, from either end, and exporting your ledgers, which are yours and leave with you.

Cookies

We use cookies and equivalent local storage only for the things that cannot work without them: keeping you signed in, remembering a preference, and the first-touch note and identifier described at the top, which stay in your own browser. We do not use advertising cookies and we do not run third-party ad trackers on this site. The page measurement we do run sets no cookie at all.

International transfers, and age

Spotbo Inc. is a Delaware corporation and the providers above operate in several countries, so information may be processed outside the country you live in, under the safeguards those transfers require.

Meinry is a business tool and is not directed at children. We do not knowingly collect information from anyone under 16.

Changes, and how to reach us

This page will change as the product is built, and the date at the top is the one that counts. The two-tense structure above is temporary by design: the day bank connections are live, the section describing them stops being written in the future tense, and the change is a material one, so we will give notice of it rather than only editing the page.
